Wat ga je doen?

We are looking for an experienced Secretary for 3 of our Directors to ensure optimal support in achieving their targets and goals for their responsible areas.

In this role, it is important to have excellent communication skills, show initiative to start actions on your own, can adapt to various situations and changes in planning, plan and organize your work effectively and take on tasks that are not an immediate part of your job responsibility.

Your main tasks as a Secretary at Grodan include:
• Plan, schedule, organise, prepare and monitor meetings and activities of the department resulting in an efficient use of time;
• Ensure proper handling of incoming and outgoing (e)mail and correspondence of the department in a way that documents are being delivered, in time, accurate and per format guidelines. Prioritise and guard settling of incoming post;
• Provide preparing and operational support to management reports and presentations;
• Estimate telephone calls for the manager on urgency, request, type, and objective and decide about proper settlement;
• Prepare, organise and take minutes from meetings of internal and external participants with attention for travel, accommodation, facilities, agenda items, required documents and presentations. Process minutes and distribute after approval of the manager;
• Administration of data filing, archives, files, etc. to save and update information systematically and accessible in accordance with Rockwool guidelines;
• Arrange customer visits and book travels, transport and hotel reservations in accordance within Rockwool guidelines.

Wie ben je?

• Minimum Bachelor level diploma;
• 5+ years’ experience as Personal Assistant, Management Assistant or (executive) Secretary;
• Dutch and English both oral and written to a high professional business level;
• Knowledge of Microsoft Office applications and SharePoint.

What we offer:
• Salary of €2713 or higher bruto per month;
• Fulltime employment of 40 hours a week, 32 hours are negotiable;
